Philadelphia Notary & Apostille’s Guide To Homologación Document Preparation

From your school’s records to an apostilled, sworn-translated file: how we help families prepare for Spain, what to expect, and where our role ends.

By Philadelphia Notary & ApostilleFor Students, Families & Schools

One Coordinated Document Service. Not A Ministry Application.

We help prepare U.S. academic credentials for submission in Spain through notarization, apostilles, sworn Spanish translations and delivery. You or your representative must file the recognition application with the appropriate Spanish authority. We do not issue the conditional-enrollment slip or decide the outcome.

What Our Homologación Service Actually Does

Planning to study in Spain can turn a simple request for a diploma into a chain of unfamiliar tasks. Your school may need to certify the records, an authorized official may need a notary, a state authority must issue an apostille, and the completed file may need sworn Spanish translation. Meanwhile, an enrollment deadline is approaching and the family may already be overseas.

Philadelphia Notary & Apostille brings those document-preparation stages together. We help you identify the authentication steps for the records you need, coordinate the services you select, and return an organized file for your next step in Spain. Instead of separately managing a school, notary, state filing, translator and courier, you have one team coordinating the preparation.

“Homologación services” describes our document support—not a power to recognize your qualification. Homologación is the Spanish authority’s recognition process. For non-university qualifications, such as a U.S. high school diploma, it is distinct from the university-degree procedures that may apply to a bachelor’s degree or regulated profession. This guide focuses on academic document preparation, particularly school and Middle States files; it is not an eligibility determination.

Who We Are: A Philadelphia Firm With Nationwide Reach

Inside Philadelphia Notary & Apostille’s office, with the firm’s sign and authenticated documents
Our Philadelphia office supports families, graduates and schools preparing documents for use abroad.

We are Philadelphia Notary & Apostille, located at 12 E Highland Avenue, Suite 203, Philadelphia, PA 19118, in Chestnut Hill. Our team coordinates notarization, academic-document apostilles, translation and return delivery for clients in the United States and abroad.

Our Philadelphia location is particularly useful for the Middle States workflow: we can coordinate local retrieval of eligible MSA-embossed records and the Pennsylvania authentication stages. For other academic documents, we coordinate apostille processing in all 50 states rather than treating every file as a Pennsylvania filing.

We are an independent service provider—not Spain’s Ministry of Education, a consulate, Middle States Association, a school registrar or an admissions office. Each of those organizations retains its own responsibilities and authority.

The One-Stop Advantage: Less Coordination, Fewer Loose Ends

The value is not just obtaining a stamp. It is arranging the steps in a sensible order, identifying missing pieces before a filing, and keeping the records moving between the people who must handle them. An apostille on the wrong signature or a translation ordered before the file is complete can create avoidable repeat work.

  • Document review. We examine the available records, school certification and proposed authentication chain before coordinating the filing.
  • School and notary coordination. We help arrange the authorized school official’s signing, with eligible online or travel-notary options as appropriate.
  • State filing coordination. We route eligible records to the correct apostille authority, including multi-state orders.
  • Sworn translation coordination. We arrange Spanish sworn translation of the required completed document set.
  • An organized finish. We coordinate completion scans, the delivery choice and order updates so you can plan your next step.

One-stop does not mean every outside charge or optional service is automatically included. Your quote identifies the services selected, with applicable state fees, translation scope, notarization, collection and delivery. MSA charges and Spanish application fees are separate unless expressly included in your written quote.

Start With The Right School Records

Before ordering, ask the receiving institution and the competent Spanish authority for the requirements that apply to your student, qualification and intended study. Requirements vary: the number of academic years, transcript details, diploma evidence and supporting records needed for one application may differ from another.

Send us clear scans of the records you have, including reverse sides, attached certifications and any written instructions. A useful starting set often includes the diploma, official transcript, school contact information and the receiving authority’s checklist. A portal screenshot or informal copy is not automatically equivalent to an official school record.

The school’s role matters. Where a registrar attestation is needed, the authorized school official certifies the institutional records and completes the appropriate notarial process. A parent cannot simply replace that official with a personal statement, and a notarized photocopy is not automatically the right authentication route for Spain.

Relay additional school requirements early. If your Spanish school asks for a grading scale, additional academic years, a specific certification or another document, send us the exact written request. Our review concerns preparation and authentication; it does not determine whether your coursework satisfies Spain’s academic criteria.

Travel Notary, School Signing & Document Collection

A registrar’s availability can be the hardest part of an academic-document order. We can coordinate a travel notary to meet an authorized school official where available, rather than asking the official to leave campus to find a notary. Tell us the school’s location, the signer’s contact details and the available appointment windows.

Depending on the record and filing route, an eligible remote online notarization may be another option. It must be suitable for the signer, document and receiving apostille authority; it is not a universal substitute. We confirm the route before arranging the session.

We can also coordinate document collection or retrieval as part of an agreed order. Availability, geographic coverage, permission to release the documents, courier charges and school procedures must be confirmed in advance. For Middle States orders, direct retrieval after embossment can eliminate an unnecessary shipment to the family before the apostille work begins.

Do not arrange a new signature or mail the only original without checking the instructions. We want the correct school official, record set and notarial certificate in place before documents move to the next stage.

Apostille Processing In All 50 States

An apostille authenticates the relevant public signature, seal or official capacity for international use. It does not evaluate grades, award equivalence or guarantee that Spain will accept the academic qualification. Those are separate questions.

We coordinate apostille processing in all 50 states. The correct authority follows the actual document and notarization chain—not simply where the student lives, where the school’s name appears, or where our office is located. For a notarized school attestation, the notary’s jurisdiction is central to determining the appropriate state filing.

Some states require additional authentication steps. An order containing records from several jurisdictions may need more than one filing. We review the chain, explain the applicable route and coordinate the required processing. Pennsylvania work may include hand-couriered filing in Harrisburg where applicable, saving you the trip and the task of navigating the filing yourself.

Nationwide service does not mean identical turnaround times everywhere. State requirements, government queues, holidays and available expedited options vary. We confirm the current preparation estimate for the actual records in your order.

Middle States Association: The School-To-Spain Process

Families at Middle States Association-accredited international schools often need a coordinated path between the school abroad, MSA in Philadelphia, notarization, Pennsylvania apostilles and Spanish translation. We support that workflow, but MSA embossment, a state apostille and Spanish recognition are three different things.

MSA embossment is not an apostille and is not homologación. Likewise, accreditation alone does not mean every document is automatically eligible for a Pennsylvania apostille. We review the school, the specific records and the completed certification/notarization chain.

  1. Confirm the school’s requirements and order route. Ask the registrar which records will be issued and whether the school has a dedicated Philadelphia Notary & Apostille parent/student order link. Use that link when provided so the school’s available services and instructions stay attached to the order.
  2. Arrange the MSA embossment request. The school or family requests embossment through Middle States under its applicable process. Coordinate who submits and pays for that request; do not assume that placing our apostille order automatically creates an MSA embossment order.
  3. Coordinate retrieval after the records are ready. Once MSA completes the relevant work and release arrangements are confirmed, our team coordinates collection in Philadelphia. Give us the identifying information needed to connect the records to your order.
  4. Complete the authorized school-official signing. We coordinate the required attestation and notarization, including an eligible online session when appropriate. The school official—not the parent—attests to the institution’s records.
  5. Process the Pennsylvania apostilles. For the reviewed Pennsylvania authentication chain, we coordinate filing with the Pennsylvania Department of State. The apostille authenticates the relevant signature or authority; it does not itself recognize the diploma in Spain.
  6. Add sworn Spanish translation when selected. We arrange translation of the required completed records and relevant authentication pages. Confirm translation is included in your selections; an apostille-only order does not automatically include it.
  7. Review scans and arrange final delivery. We coordinate the chosen delivery: direct shipping, an available pickup/digital option, or return to MSA when your school-specific form offers it. The family then proceeds with the Spanish application.

Schools coordinating multiple families can ask about a dedicated school arrangement and parent order forms. Families should use the school’s existing link when one has been supplied rather than creating a second order through a different form.

Sworn Spanish Translations: More Than A Notarized Translation

For our Spain sworn-translation service, we coordinate a Court-Appointed Traductor-Intérprete Jurado authorized by Spain’s Ministry of Foreign Affairs. This credential is different from a translator’s general certification of accuracy used for many U.S. purposes.

We arrange translation after the required authentication material is available so the file can include the diploma, transcript, school attestations, notarial wording and relevant apostille pages within the agreed scope. Send every page for review rather than guessing which seals or attachments can be omitted.

A standard certified translation does not become a Spanish sworn translation simply because someone notarizes the translator’s signature. Confirm the translation requirements for your specific application with the authority; official rules may provide recognized alternatives, but our Spain service offers the authorized sworn-translator route.

If you already have apostilled documents and need only translation, you do not need to reorder services you have completed. Choose the translation-only route and send the complete file for a page-count and scope review.

Completion Scans, Pickup & Tracked Shipping

Delivery is part of the plan, not an afterthought. Tell us where the completed documents need to go and when they are needed. We coordinate tracked domestic and international shipping, with the carrier and available service determined by the destination and the option selected.

Digital completion scans let you review the finished set and keep a working copy. Where a form offers scan-only delivery, confirm that it meets your immediate purpose and ask what happens to the physical originals. A scan does not automatically replace an original apostille or the physical records a receiving institution may request.

In-office pickup may be available through the applicable order. Some school-specific MSA parent forms also offer Send Back To Middle States Association for $45 when the school enables that choice. Documents are provided in a protective sleeve. If MSA then ships them onward to the family, an additional MSA shipping charge may apply. Choose a direct-delivery option if you want us to send the finished documents directly to you or another recipient.

For international shipments, supply a complete address, recipient contact details and any destination-specific information requested by the form. Shipping time, customs and attempted deliveries are separate from notarization, apostille and translation processing.

The “Slip”: Volante Para La Inscripción Condicional

Families often ask whether the finished apostille package includes the “slip.” Usually they mean the Volante para la Inscripción Condicional, associated with Spain’s non-university homologación or convalidación application.

The Ministry describes the Volante as supporting conditional enrollment while the recognition file is pending, under the applicable procedure. It is linked to the official application and registration process; the authority’s instructions explain how it must be presented and validated. Ask the receiving school how it handles conditional enrollment and what evidence it requires.

We do not issue, stamp or validate the Volante. Preparing your documents does not file your application, obtain the Volante automatically, or guarantee a place at a school. The Volante is not a final recognition decision and does not replace the application that must be filed.

You will need to submit the required documents through the appropriate Spanish process to pursue recognition and, where applicable, the conditional-enrollment document. The Ministry warns that a Volante does not prejudge the final outcome. Conditional enrollment remains subject to the application’s resolution and the applicable rules.

Do not confuse the Volante with a final homologación credential or resolution. Our completed file supports your application; neither an apostille nor a sworn translation gives our firm the authority to issue a Spanish government document.

Read the Ministry’s official Volante guidance

What We Do Not Do—and Who We Are Not

Philadelphia Notary & Apostille does not homologate, approve, register or validate degrees. We do not accept, reject or deny homologación applications. We do not issue the Volante, an approval slip, a Spanish recognition credential or a Ministry resolution.

We are not the Spanish Ministry of Education, another Spanish recognition authority, a Spanish consulate, Middle States Association or your school. We do not make academic-equivalence decisions, award Spanish qualifications or control admissions. Our document preparation does not replace advice from the relevant authority or an appropriately qualified adviser.

The client, family or student is responsible for confirming the exact current requirements, selecting the correct recognition procedure, filing the application directly or through their own authorized representative, paying applicable Spanish fees and responding to requests. University degrees and regulated professions may involve a different authority and procedure from the school-level process described here.

Strongly advised: forward any additional requirement from your school or the Spanish Ministry of Education before work begins, and promptly if it changes. We can help prepare further documents within an agreed scope, but cannot promise that a package will eliminate all requests for additional evidence or secure an approval.

What To Expect: Two Separate Timelines

1. Our Document-Preparation Timeline

This includes obtaining usable records, school-official availability, any MSA embossment and retrieval, notarization, state filing, translation, final review and delivery. Your estimate depends on the state, document count, readiness of the school, translation volume and any available expedited service. A delay obtaining a signature or additional transcript can affect the whole sequence.

2. Spain’s Application And Decision Timeline

This begins with the official filing process and belongs to the competent Spanish authority. It is not the same as our preparation time. Paying for expedited apostille processing does not expedite a Ministry decision. School enrollment dates, recognition decisions and additional-document requests remain outside our control.

Tell us the real deadline before placing an order. We explain what can reasonably be coordinated and which stages depend on others. Avoid travel, enrollment or other irreversible commitments based solely on an unconfirmed preparation estimate.

How The Quote Is Built

The total reflects the selected services: number of documents and apostilles, state-specific work and fees, notarization method, travel or retrieval needs, translation scope, optional services and delivery. The order form or tailored quote should make those selections clear. Additional records or a new requirement can change the scope and cost; one family’s total is not a universal package price.

How To Order The Right Service

  1. Confirm your requirements. Obtain the current checklist from Spain’s competent authority and the receiving school. Identify the study level, purpose, deadline and any special instructions.
  2. Gather the records and contacts. Have clear scans, the school/registrar’s contact details, the destination and existing apostilles or certifications ready. Include every attachment and relevant reverse side.
  3. Choose your route. Use the general Homologación order for coordinated preparation, the Middle States order or your school’s dedicated parent link for an MSA file, or the sworn-translation-only form if authentication is already complete.
  4. Review your selections and quote. Check the document count, translation, notarization, optional services and return delivery. Complete the Spain service-scope acknowledgment where requested, including your typed name.
  5. Follow the order instructions. Coordinate the school signing, release and retrieval as directed. Wait for confirmed shipping instructions before sending originals, and use the order updates to follow the preparation stages.
  6. Receive your file and take the next step in Spain. Keep copies and originals as required, file the application and follow the official procedure for any Volante. Forward additional-document requests promptly if you need further preparation services.

Not sure which route fits? Send us your document-preparation question, email contact@philanotary.com, or call 215-892-2680. Share the written requirements rather than assuming every Spain application needs the same file.
