An Italian university file, a citizenship document collection and a property authorization have different goals, but each needs careful preparation of its U.S. records. Philadelphia Notary & Apostille helps clients coordinate the correct apostilles, notarization, Italian translation and return delivery. From our Chestnut Hill office, we organize Pennsylvania documents alongside records from other states and federal agencies, so your destination in Italy does not obscure where each document must first be authenticated.

What We Do
U.S. Documents, Prepared For Italy
Italy Uses The Hague Apostille Convention
Italy is a party to the Hague Apostille Convention, as is the United States. Eligible American public documents for use in Italy generally follow the apostille route rather than the embassy legalization chain. The apostille confirms the official signature, capacity and seal attached to a record. It does not establish citizenship eligibility, recognize a degree or certify the truth of every statement. The Italian institution still decides which documents, translations and supporting evidence it requires. We start with that institution’s checklist and classify each record before moving it through the appropriate U.S. authority.
Education, Citizenship And Italian Transactions
For education, a Declaration of Value describes a qualification within its original education system and is issued by the competent Italian consular office. For citizenship by descent, often called jure sanguinis, applicants may need records tracing generations and changes in civil status. Eligibility rules have changed, so the collection of apostilled records should follow current consular, municipal or court instructions rather than an old online checklist. For a property transaction or family matter, a procura may authorize someone in Italy to act. These are separate processes: an academic Declaration of Value cannot replace citizenship evidence, and neither replaces the legal wording needed for a power of attorney.

Why Philadelphia Notary & Apostille
One Coordinated Document Service
Keep A Multi-State File Organized
Citizenship families often hold certificates from several states and generations. We organize the records by issuing authority so each goes to the correct office while the project remains coordinated from Philadelphia. Academic clients receive the same attention to the school signature and consular jurisdiction. That document-by-document approach is more useful than purchasing a generic certificate and discovering later that it authenticated the wrong signature. Our role is preparation and coordination, not a legal opinion on citizenship entitlement.
Local Notarization Without A Harrisburg Trip
For Pennsylvania filings, we travel to Harrisburg, submit suitable records on your behalf and obtain the physical apostille. Clients can arrange a Chestnut Hill appointment for appropriate notarization or discuss travel notary and document collection if attendance at our office is difficult. Collection and notarization are distinct: a notary must follow the appearance and identity requirements for the act requested. We help sequence those steps so a power of attorney or school attestation is ready before state authentication begins.
Documents We Handle
Records For Your Next Step In Italy
Vital Records For Jure Sanguinis And Family Matters
Birth, marriage and death certificates can support an Italian citizenship file, civil registration or an estate matter. The recipient decides the necessary record format, generations covered and supporting corrections. Obtain certified copies rather than using souvenir certificates or self-certified photocopies. Tell us which Italian authority is handling your case and whether it needs divorce records or other changes in status. We authenticate the eligible U.S. records; we do not determine whether your ancestry meets the current citizenship rules.
Procura And Powers Of Attorney
A procura may be used to handle property, inheritance or another transaction in Italy while the signer remains in Pennsylvania. Its language and scope should come from the Italian notary or adviser responsible for the matter. Our office can coordinate an appropriate notarization and apostille after the signing requirements are confirmed. Send the draft first and bring identification to the appointment. Do not assume any English power of attorney will be acceptable solely because an apostille is attached.
Diplomas, Transcripts And Declaration Of Value
Students may need school records authenticated and translated for a Declaration of Value, university admission or another credential review. Ask the Italian recipient whether a DOV is required and which consulate has jurisdiction over the qualification. We help with the U.S. document chain, certified Italian translation and the existing DOV preparation process. The consulate issues the Declaration of Value; the university or other competent institution makes the academic decision. Neither an apostille nor a DOV by itself guarantees admission or professional recognition.
FBI Reports And Federal Records
If the Italian checklist asks for an FBI Identity History Summary, its federal apostille must come through the U.S. Department of State. Share the actual report and the recipient’s requirements for age, translation and original presentation. A state police clearance is not the same record. Federal naturalization-related evidence can follow its own certification requirements; have the record reviewed rather than assuming all federal papers can be processed identically.
Corporate Documents For Business In Italy
Formation certificates, good-standing records, board resolutions and company authorizations may support an Italian commercial matter. State-issued company records and private corporate signatures require different preparation. We identify the record source and relevant notarization before requesting an apostille. Translation should match the receiving authority’s instructions. Questions about Italian registration, tax treatment or the legal authority conveyed by a resolution belong to the professional handling your transaction, not to the apostille certificate.

Our firm is Philadelphia Notary & Apostille, at 12 E Highland Avenue, Suite 203, Philadelphia, PA 19118. From Chestnut Hill, we serve clients across the city and surrounding region who prefer a real office for a complex Italy document project. Start with scans online, then arrange the required originals and appointment. Families outside Pennsylvania can also coordinate remotely. Confirm the document-specific mailing instructions before sending originals, especially when an academic file or multi-state record collection involves different preparation locations.
Shipping, Pickup And Your Completed Packet
Choose the existing order’s available delivery method, including shipping or office collection where offered. Completion scans can help you check a packet before using it, but an Italian authority may still demand original apostilled records and translations. Do not detach the apostille from the document it authenticates. Provide the final destination and deadline early, and notify us if a university, consulate or notary changes its checklist while preparation is underway.
